Empty your inbox without fear

I often see clients who have 10 - 20 - 50 or even more then 100K of emails in their inbox and are completely overwhelmed by it. The easiest way would be just to “declare email bankruptcy” and delete them all. For most people this is a terrifying thought. Learn how to quickly eliminate the number of emails in your inbox and keep them organized.

How to empty your inbox without fear

Sort the email by clicking on “From” in the toolbar. Save time by selecting the emails that you want to move elsewhere by clicking on the first email + press and hold the shift key and then select  the last email in the list. This wall automatically highlight all other messages in.

Next you can take the following email actions:

  1. Mark as read

  2. Delete

  3. Archive

  4. Move

Repeat for all other senders. You can also sort by other column headers like subject and date.

Mark email as read

Either a check box in the toolbar or with an simple right click on the selected messages you can mark them all as “read”. This will reduce the number of unread messages and lower your stress level.

Email Archive

If you don’t have time to read or take action on an email message when you receive it, you can archive it. Archived messages are stored in an Archive mailbox so you can quickly find them later. This is where Gmail in the web browser shines, it has the power of Google search on your entire email.

Move

The classic way of organizing files is by making folders and sub folders related the subject you want to move and store the emails in.


Automate organizing email

The manual actions mention above can be automated. Its best to do this on the email server by opening your mail in the web browser and create a filter sometimes called rule to manage the email.
